Position Summary

NRDC is seeking a Workplace Strategy Associate a Workplace Strategy Assistant to work with the Workplace Strategy team in our New York office.  Please note that, while our offices are open and we are operating in a hybrid model, this position will require presence in the New York office 2 - 3 days a week. 

This position is based in the New York office to provide administrative support to the Workplace Strategy team, who manages day to day operations, renovation projects, maintains NRDC's commitment to a more sustainable business operation and provides a high level of customer service to our team members and visitors. 

Responsibilities

  • Perform traditional administrative clerical responsibilities, including word-processing, copying, filing, mailing, and maintaining paper and electronic filing systems
  • Assist in the preparation of documents, reports, proposals and relevant materials by proofreading, fact-checking, editing, and conducting basic research
  • Process invoices and budget management 
  • Maintain office and building security system, coordinating building access requests and COIs for approved vendors
  • Manage vendors, contractors, etc., as needed
  • Maintain office archiving system
  • Maintain office space management system
  • Interpreting data, analyzing results using statistical techniques, and providing ongoing reports 
  • Locate and define new process improvement opportunities 
  • Use our ticketing system for receiving and responding to company program and office repair and maintenance requests, determining the nature of the problem(s) and either completing the request or recommending appropriate solutions to employees in a timely manner
  • Maintain and update office staff lists 
  • Coordinating schedules and travel arrangements when needed
  • Provide a high level of customer service to our staff and ensure all employees have a comfortable and functional workspace
  • Maintaining NRDC commitment to greener business operations 
  • Manage and support staff engagements that promote NRDC culture, such as full staff meetings, annual holiday party, picnic, etc.
  • Providing general administrative support and ad hoc projects, as needed

Qualifications

Required

  • Commitment to NRDC’s mission and values
  • Highly detailed-oriented with excellent written and oral communication skills
  • Previous facilities management and administrative experience
  • Excellent interpersonal customer service and organizational skills are required; timely completion and attention to detail are expected as is the ability to make decisions and assess situations with the “strategic big picture” in mind
  • Ability to take thoughtful initiative and have desire to go above and beyond
  • Work collaboratively and be able to execute hands-on work, follow organizational procedures and perform accurately under deadlines
  • Must be able to assert functional leadership and influence and to communicate ideas, proposals, and decisions in a professional manner
  • A proactive approach that is intuitive and able to anticipate circumstances
  • Excellent project management and project coordination skills
  • Self-directed with the ability to prioritize, manage and follow through on multiple tasks
  • Proficiency in Microsoft Office, including Word, Excel, Outlook, SharePoint, Teams, PowerPoint, and Lucid chart, Asana, Concur
  • Strong facility with spreadsheets and database
  • Ability to organize and manage internal and external events
  • Willingness to be available for occasional overtime work
  • Bachelor’s Degree or equivalent years of experience

Preferred

  • Interest in environmental issues is a plus
  • Strong research, writing, and editing skills
  • Event planning and management experience 

Compensation

  • We offer competitive salaries, excellent benefits, and a supportive working environment. Salary is based on a nonprofit scale and is commensurate with skills and experience. For this position, the salary is $56,000 to $70,000. Internal equity considerations will be reviewed before making a final offer.
