The Office Manager (OM) is responsible for the daily operations of TransFair's office in Oakland including its administrative areas, services, staff, and relationships. The OM directly supervises a full-time staff of two employees as well as office volunteers. This position reports to the Operations Director and collaborate with the Operations Team consisting of Human Resources and IT Services staff. The ideal candidate will be a highly organized manager who thrives in a fast-paced and interactive environment. Excellent problem-solving, prioritization, project and personnel management skills are essential.
Specific Duties include:
*Supervise orderly appearance and function of front office, break room, conference room, and shared areas.
*Design and furnish work and common spaces; manage office floor plan and building contacts.
*Directly supervise the front office staff to provide top quality key administrative duties; provide backup coverage as needed.
*Oversee inventory and budget of office and shipping supplies, and manage accounts with supply vendors.
*Manage processes for incoming/outgoing mail including bulk-rate mailing projects. *Provide assistance with meeting and special events logistics; coordinate staff gatherings. *Research, negotiate, and maintain contracts with equipment and service vendors including copiers, phone system, fax and postage machines, long-distance and cell phone services.
*Work creatively with the Operations Director and cross departmental management to develop solutions and implement improvements to TransFair's operational needs.
Qualifications:
At least 2 years similar experience in office management with direct supervision of employees is required. Working knowledge of MS Office software and the ability to lift 20 lbs are required. A commitment to fostering a positive office community and dedication to environmental/social justice is very important. Spanish and/or French language skills and is a plus.
Starting Salary: Mid to High $30,000's with full benefits include medical, dental, and paid time off.
