Position Overview
As part of our exciting expansion into the US, we are looking for a full time Office Administration assistant. This role will allow you to interact with people from all backgrounds and use your passion for Africa and conservation to help recruit and support international conservation volunteers.
Position Purpose:
The Office Administrator is responsible for administrative duties and logistics regarding volunteering placements for participants from the Americas.
Core Responsibilities
- Managing the office, all administration, payroll, banking, printing and re-ordering of stock, invoicing, filing, data entry and mail.
- Responsible for creating and sending out information packs to volunteers including all travel documents, confirmations and fund raising packs.
- Responsible for creating strong working partnerships with travel agents to book flights and insurance for volunteers (CRS or SABRE / GALILEO knowledge not required).
- Liaising directly with volunteers from the Americas to support their process of volunteering from initial enquiries to departure.
- Maintaining and working effectively from our online business management system.
- Liaising with, and building partnerships with travel agents and insurance companies.
- Liaising with projects in southern Africa to send them volunteer information
- Liaising with SA Manager regarding volunteer movements and changes to itineraries.
- Overseeing payments, sending reminders and invoices.
- Responsible for office maintenance, equipment and operations including business insurance.
- Carry out other duties as required to support a small, dedicated team.
- Speaking over the phone to potential volunteers about our conservation projects and how to get involved.
- Following up leads, answering enquiries by email and phone and providing excellent customer service.
Person Specification
You must be:
- Experienced in office administration, preferably in a key responsible role
- Competent with basic software packages
- Have excellent verbal and written communication skills.
- Capable and comfortable working with volunteers and staff from diverse countries and cultures
- Confident in networking and developing relationships with key contacts
- A very organised, self motivated and methodical individual is sought in this role, who can remain calm and use initiative.
- Able to work independently with minimal supervision and as part of a small dedicated team
- Passionate about wildlife, conservation and travel
Desirable Skills:
- Experienced in the travel or volunteering industries
- Experienced in conservation work
- Knowledgeable about southern Africa / previous travel experience in southern Africa
Compensation: This fulltime position offers a salary of (US dollars) $33,000, with some benefits.
