Position Description
CLASP is looking for an exceptionally perceptive, multitasking, and self-motivated Executive Assistant to support the Chief Executive Officer (CEO) and the Senior Management Team (SMT). This exciting role requires superior attention to detail, the ability to meet tight deadlines, great organizational skills, and the ability to juggle multiple critical requests.
A high level of integrity and discretion in handling confidential information and professionalism in dealing with senior professionals inside and outside the company is important. The successful candidate will possess the ability to complete complex tasks and projects quickly with little to no guidance, to anticipate needs and priorities, react with appropriate urgency to situations that require a quick turnaround, and to take effective action without having to know the total picture.
The Executive Assistant will support the CEO and SMT as well as other internal and external professionals, including the CLASP Board of Directors, to drive key team activities. Responsibilities for this position include taking proactive ownership of a busy executive’s calendar, coordinating complex meetings and projects by working directly with key stakeholders, compiling and organizing high volumes of information, and planning ahead to manage time effectively. The Executive Assistant will report to the CEO.
Primary Duties and Responsibilities
The Executive Assistant will perform the following and other duties as assigned:
- Perform all administrative duties to support the CEO, enabling her to be highly effective in executing her role
- Manage, arrange, and coordinate the CEO’s complex calendar and scheduling requirements, including all aspects of domestic and international travel arrangements
- Plan, coordinate, and ensure that the CEO’s schedule is thoughtfully and effectively constructed with an eye to supporting expressed priorities
- Work closely with the CEO to keep her well-informed of upcoming commitments and responsibilities; track and help drive completion of key deliverables and follow up on outstanding items, following up as appropriate
- Prepare the CEO for meetings by providing preparatory information; take notes at meetings
- Work with other team members and teams across the organization, providing a bridge for smooth communication between the CEO and internal teams demonstrating leadership to maintain credibility, trust, and support with staff
- Serve as the key point of contact and coordinate logistics, including arranging travel, lodging, and catering, and prepare materials for Board meetings and other events with key stakeholders
- Research, prioritize, and manage responses to incoming correspondence and requests
- Manage space availability for the organization
- Complete expense reports
- Support the CEO and SMT with discrete program-oriented research tasks
- Pitch in with office management responsibilities as a true team member
- Other duties and special projects, as needed
Qualifications
The successful candidate will have the following minimum qualifications:
- 5+ years stable administrative experience, with at least 2 years executive level experience
- 4-year degree strongly preferred
- Excellent written and oral communication skills, including the ability to draft correspondences and other communications quickly with minimum direction
- Strong attention to detail, excellent organization, execution and consistency with a high degree of quality in work
- Self-starter with demonstrated ability to work both independently and within a team; ability to work under pressure, prioritize, anticipate upcoming needs, propose solutions, and multi-task
- Demonstrated ability to coordinate and facilitate the completion of large administrative projects in a timely manner, including meeting strict deadlines
- Ability to represent CLASP professionally, maintain confidentiality, and handle sensitive matters with discretion and diplomacy
- Experience working with Boards of Directors
- Proficiency with Microsoft Excel, Word and Power Point; demonstrated computer literacy
- Excellent personal and interpersonal communication skills
- Proactive and service-oriented but easy-going personality
- Ease in getting along with team members at all levels; ability to manage up
- Curiosity and a constant interest in learning and a high level of energy and enthusiasm
Compensation: The compensation package at CLASP is highly-competitive with international NGOs based in the United States.
