Position Overview

This position is responsible for the overall financial and operational success of Sustainable Life Media's owned live event properties. Responsibilities include budget management, staff management, negotiating speaker, sponsor, and venue needs and event sustainability planning and execution. The position is full-time and is located at our Nob Hill district office.

Responsibilities
 

Specific Job Duties: 

  • Confer with staff at a chosen event site to coordinate details.
  • Travel to reserved event venues and work with staff to ensure staffing requirements are met based on company needs and communicate "show flow".
  • Volunteer recruitment & onsite scheduling.
  • Inspect event facilities to ensure that they conform to customer requirements.
  • Travel to potential event sites to confirm event details, staffing, and resource requirements of venue.
  • Coordinate services for events, such as accommodation and transportation for participants, facilities, catering, signage, displays, special needs requirements, printing and event security.
  • Speaker onboarding, registration, and slide management.
  • Registration platform management.
  • Manage all event spend: Food and Beverage, facilities, sponsor fulfillment, etc.
  • Manage process of creating printed materials with graphic designer and external printer.
  • Oversee creation of all attendee communication, pre- and post-conference emails.
  • Track and report sustainability efforts for live events.
  • Meet with sponsors and organizing committees to plan scope and format of events, to establish and monitor budgets, or to review administrative procedures and event progress.
  • Develop event timeline & show flow. management/awareness for overall effective and timely cross team project management.
  • Build event budgets, revenue goals, and pricing strategy.
  • Create a sustainability plan with each contracted event space and help to disseminate message to event participants, sponsors, speakers, and other stakeholders.
  • Review event bills for accuracy, and approve payment. Evaluate and select providers of services according to customer requirements.
  • Review Banquet Event Orders (BEO's) for accuracy one week before arrival to venue. Request changes as needed.
  • Review Banquet Checks and final invoices from the venue within 30 days of end of event. Request changes as necessary and approve payments.
  • Arrange the availability of audio-visual equipment, transportation, displays, and other event needs. Plan and develop programs, agendas, budgets, and services according to customer requirements.
  • Interacting With Computers -- Using computers and computer systems (including hardware and software) to program, write software, set up functions, enter data, or process information.
  • Utilize various software and SAAS platforms to complete necessary tasks. Examples include eTouches for registration management, Drupal for website updating, Google Drive and Dropbox for filing.
  • Customer and Personal Service -- Knowledge of principles and processes for providing customer and personal services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.
  • Assist in planning on-site engagement activities for conference attendee experience.
  • Continuously offer suggestions and systems to improve processes for optimized speaker, sponsor, overall attendee experience.
  • Track and analyze event feedback and suggest appropriate responses.
  • Administration and Management -- Knowledge of business and management principles involved in strategic planning, resource allocation, human resources modeling, leadership technique, production methods, and coordination of people and resources.
