~ The mission of the Izaak Walton League of America (the League), founded in 1922, is to conserve, restore and promote the sustainable use and enjoyment of our natural resources, including soil, air, woods, waters and wildlife. ~

Our members and staff combine hands-on conservation action, policy work with legislatures and resource agencies, and public education to pursue our conservation goals at the local, state and national levels. As a strong responsible voice representing outdoor recreationists, we occupy a special niche in the conservation community.

Position Overview

The Operations Coordinator is responsible for proactively coordinating the daily administrative and operational functions of the headquarters office of the Izaak Walton League of America.

This position is vital to the operations of the League and requires attention to detail and the ability to work independently and prioritize among multiple tasks. Key responsibilities include providing administrative support, managing production of large mailings, processing incoming and outgoing mail, processing new and renewing memberships, and supporting development by documenting and tracking donations.

This position is ideal for a well-organized individual with demonstrated experience managing office operations and advanced computer skills, including Microsoft Office applications, membership databases, and advanced merge-printing. This position is based in Gaithersburg, Maryland.

Responsibilities

Administrative

  • Process incoming mail, including specialized processing and coding of membership and development-related mail.
  • Process outgoing mail, packages and shipments.
  • Manage office supplies, including tracking inventory and reordering as necessary.
  • Fulfill sales orders, information requests, and membership/development premiums.
  • Provide basic administrative support to programs based in the headquarters office.
  • Answer phones.
  • Great visitors to the office.

Database/Payment Processing

  • Process new and renewing memberships, including reconciling dues payments with member counts on tally sheets.
  • Process responses to appeals, workplace giving, and other donations, including generating standard acknowledgment letters for such donations.
  • Maintain and update development-related files, including for foundations and individual donors, in hard copy and electronic files as relevant.

Process Management

  • Coordinate and complete production of large-scale mailings across the organization, including all aspects of mail merge printing, insertion, and posting,
  • Coordinate and organize materials and communication with internal and external audiences related to organization-wide processes, including annual awards and chapter and division officer reporting.
  • Support preparation for and implementation of the annual National Convention, including preparing convention-related materials, tracking shipments, and traveling to the convention location to provide on-site support.

Other

  • Conduct research in support of development and fundraising, including research about potential funders and analysis of funder priorities.
  • Assist in researching and preparing annual workplace giving applications for the Combined Federal Campaign (CFC) and state campaigns. This includes researching and documenting chapter activities as required for various campaigns.

Qualifications

  • Associates degree and minimum of 3 years of experience coordinating office operations.
  • Well-organized, self-starter with ability to prioritize among and complete multiple tasks.
  • Advanced computer skills, including the Microsoft Office suite, membership databases, and complex merge-printing.
  • Working knowledge of membership/customer service operations and the financial/quality controls that commonly accompany such operations.
  • Ability to work independently to complete tasks.
  • Attention to detail.
  • Excellent verbal and written communication skills.
  • Positive, team player with ability and willingness to work with a wide range of people, including League members, Board members, volunteers, and staff.

Compensation: Compensation for the Operations Coordinator is on a competitive non-profit scale and will be commensurate with experience and qualifications. The position also includes a package of employee and health benefits.
